PTM - Guidlines 

Purpose
The Parent Teacher Ministry (PTM) is an entity of parents, guardians, faculty and staff of the Union Chapel Christian Academy.  The purpose of the PTM is:

  1. To serve as advocates of the Academy by communicating to members of the Union Chapel Missionary Baptist Church (UCMBC) and community the God-given vision for the Academy.
  2. To understand UCMBC policy and procedures and ensure that all activities and programs are aligned with those policies and procedures as outlined in the UCMBC Officers and Committees Handbook.
    1. UCMBC adheres strictly to a no sale and no fundraising policy, operating by tithes, offerings, donations, tuition and fees as it relates to our academic education programs.
  3. To encourage and promote a sense of community.



Membership
Membership is automatic for Academy parents, guardians, faculty and staff.

Meetings
Meetings will be called in advance by the coordinator.  Any parent, guardian, faculty, staff, student or Union Chapel member can request a meeting of the PTM by contacting the coordinator.  The coordinator reserves the right to cancel or reschedule meetings with advance notification. 

Leadership
PTM leadership (coordinator and assistant coordinator) is appointed by the Academy Headmaster. 

  1. Responsibilities of the PTM Coordinator
    1. Lead and facilitate all PTM meetings.
    2. Communicate PTM goal(s) for the year.
    3. Communicate and present PTM activities and functions to Union Chapel Church members.
    4. Coordinate with the support of the PTM all PTM sponsored activities.
    5. Serve as the Athletic Director's point of contact for assisting in athletic activities.
  2. Responsibilities for the PTM Assistant Coordinator
    1. Serve as PTM Coordinator in the absence of the PTM Coordinator.
    2. Inform PTM membership of all called meetings.
    3. Assist in communicating and presenting PTM activities and functions to Union Chapel Church members.
    4. Assist in coordinating with the support of the PTM all PTM sponsored activities.
    5. Record and distribute PTM meeting minutes.
    6. Prepare, update and maintain electronic distribution mailing list of PTM membership.
    7. Report financial status of the PTM (expenses and donations) at meetings.

Monetary Donations
All monetary donations received for activities sponsored by the PTM will be placed in an account provided by Union Chapel Church.  Monies will be used to support all PTM sponsored activities, events, projects and equipment for the benefit of the Academy and operation of the PTM.
Donations by check can be made payable to Union Chapel Christian Academy (UCCA) and written on the memo line, "PTM".   Cash donations will be accepted during all sponsored activities by the PTM.  Mrs. Angela Patton will be responsible for collecting PTM donations. 

Activities
The following activities require a member of the PTM to serve as lead:

  1. Food concessions: Purchase, prepare and serve refreshments during home games and PTM sponsored activities.
  2. Publicity: Create flyers, postcards and letters for electronic and hardcopy distribution in promoting PTM sponsored activities.
  3. Career Day: Organize, coordinate and implement one Career Day during the school year.
  4. Banquets: Coordinate and organize two banquets to recognize students for their academic achievements and athletics.
  5. Public Service Days: Assist the administrator and faculty in coordinating visits from officials representing local, state and federal government agencies to present and motivate students in reading, math, and science.
  6. ACSI Activities: Science Fair, Speech Meet, Math Olympic, Spelling Bee, Arts and Crafts Festival, Creative Writing Competition, Geography Bee: Assist UCCA in coordinating activities.
  7. Athletic Activities: PTM Requirements
    1. Intramural Sports (K-5, 1st and 2nd grade students)
      1. Purchase uniforms
      2. Staff and operate concessions
      3. Staff volunteers to coach and officiate all home played sports
      4. Coordinate with Union Chapel Recreation Ministry to ensure sport equipment is available for all home games and practices.
      5. Coordinate with the Academy nurse to have medical personnel present at every sport event.
      6. Huntsville Christian Athletic Association (3rd - 8th grade students)
        1. Purchase uniforms
        2. Staff and operate concessions (home games only)
        3. Provide volunteers as requested by the Athletic Director, Mr. Mike Davis
        4. Coordinate with the Academy nurse to have medical personnel present at every sport event.
